JOB DUTIES:

Leading CA-NY-based system integration media company offering Audio Visual, videoconferencing, and managed services solutions has an immediate opening for multiple Office Manager/Administrative Assistants. Headquarters in New York city and San Francisco, CA  ideal candidates will have a minimum of two years experience working in a fast-paced office environment with working remotely. 

Responsibilities:

Ensure the smooth and swift completion of all administrative facets for the company. AV project support tasks include working with vendors to find best pricing, ordering all necessary equipment, coordinating the acceptance of deliveries, documenting receipt of all incoming orders, and organizing all equipment once arrived.

Maintain district and office efficiency by implementing and maintaining data tracking and organizational systems. Current systems include, but are not limited to, updating client project equipment spreadsheets and tracking and processing equipment repairs (RMAs), third-party manufacturers’ warranties and certificates of insurance requests for clients.

Guarantee seamless realization of fiscal responsibilities by working with Quickbooks, creating POs, entering vendor bills and creating estimates and invoices for clients in a timely manner.

Answer company phones via VOIP, chats, emails and engaging with and assisting staff, installers, technicians and clients in a friendly and professional way.

Create an organized and functional home office environment; tracking and ordering office supplies, coordinating and ordering team lunches, maintaining an orderly office space.

Assist Directors and managers of Finance & Operations with other financial and operational tasks as they arise.

Required Qualifications:

Must have 2+ years of operational experience

Must have experience with Microsoft Office Suite. QuickBooks or other accounting/database software a plus

Must be a team player, have a professional demeanor with strong verbal communication skills

Must be able to communicate and manage the differing needs and requests of multiple individuals in a calm and constructive manner

Must have a desire to take ownership and responsibility for quality work

Must have an Associates Degree, Bachelor’s Degree a plus.

Must have both professional and personal references

Working knowledge or previous experience with commercial AV equipment a plus

Must have broadband or equivalent internet, up to date computer and dedicated, quiet workplace with locking storage available for confidential company files.
