JOB DUTIES:

These individuals are responsible for administrative support for the Executive Managing Directors of Leasing as well as supporting the general functions of the Leasing Departments, Executive Teams and Company overall.  The expectation is the candidate comes with a high level of administrative skills but also the ability to go beyond the administrative.

Purpose
To provide prompt and efficient executive-level administrative support for Executive Managing Directors of Leasing, as well as coordinate the activities related to these functions. These positions will be part of a team that is responsible for the day-to-day leasing and operations of nationwide commercial real estate portfolios and over 10,000 residential rental units nationwide.
Qualifications
These individuals need to be professional, organized, reliable, self-motivated, courteous, patient and compassionate, and comfortable working in a close-knit organization. Must be detail-oriented, able to work as a team player, and able to prioritize and perform multiple projects and tasks. Must have excellent communication skills with the ability to create business correspondence (Word) and spreadsheets (Excel) and accurately proofread each, prior to distribution.Ideally, the candidates have previous experience working in the leasing and/or asset management departments.  
Areas of Responsibility
 I. Provide administrative support for activities related to the leasing of commercial and residential property and ensure that high-quality work is produced within established deadlines.
2. Handle correspondence, telephone contacts, e-mail, calendars, incoming phone traffic and confidential materials in a professional and expedient manner.   Maintain and organize all internal department and electronic files.
3. Develop basic understanding of all properties and provide these details to prospective tenants and brokers.
4.  Prepare leasing proposals, lease request memos to legal counsel and weekly leasing reports.   Abstract lease documents and research documents as requested.  Review residential leases to insure they are ready for ownership execution.    Scan all lease documents into our network and prepare maintain the tenant lease file.  Accuracy and timeliness is extremely important to this process.
5.  Aid in the development and implementation of marketing materials by working closely with third party agencies and vendors.  Update floor plans, images, market reports and broker mailing lists.
 
6.  Maintain CRM database for leasing teams.  Must be proficient in Outlook, MS Word and Excel.  Utilize Co-Star, a property database software system to perform research and create reports on competitive properties.   Utilize IBS, our accounting software and RDM, our stacking plan software to look up status of payment of invoices, AR reports, lease expiration reports and other reporting functions as directed.
7.  Handle business expense reports and ensure that all expenses are submitted for reimbursement in a timely fashion.
 
Skill Requirements
The level of responsibility and autonomy initially can vary based on a candidate’s experience level.   Positions typically require a Bachelor’s Degree.  Proficiency in Word, Outlook and Excel. Experience in using organizational and administrative skills.
 
Behavior Requirements

Willingness and ability to learn additional software packages.
Excellent interpersonal and communications skills.
Ability to establish strong interpersonal relationships with team members.
