JOB DUTIES:

Executive Assistants reports to the Global Leadership Manager, Medical Communication Teams and Public Affairs Teams and will be responsible for providing administrative support the Global Leadership, Public Affairs and the Executive Offices. Vice President of Strategic Communications and Public Affairs.

Under minimal supervision, the incumbents will perform advanced administrative/secretarial duties including, but not limited to: maintaining a complex and changing calendar, arranging meetings, coordinating complex travel arrangements, managing expense reports, handling and preparing confidential and business sensitive information, and managing multiple organizational processes. These positions requires efficient and often confidential screening, directing and follow-up on opportunities and correspondence. The incumbents will be responsible for following up on items delegated to others by the Executive and the Executive Assistant peer group. The positions also require coordination of ad hoc projects such as arrangements for various team meetings and WebEx sessions on a monthly, quarterly and annual basis. 

The incumbents will present a professional and welcoming presence, representing the nationwide teams and handling communications with internal and external customers and partners, senior executives, and corporate partners. He/she is required to think analytically, exercise sound judgment and discretion, and independently assess and resolve complex situations. Excellent collaboration and teamwork skills are required while coordinating with other Medical Devices administrative staff to accomplish department activities.

These positions requires leadership, initiative, excellent communication skills, organization, follow-up, execution and the ability to handle multiple assignments. Knowledge and understanding of business priorities is necessary for purposes of scheduling and communication. He/she must demonstrate flexibility and the ability to manage and respond to multiple priorities and shifting demands while maintaining the sense of urgency the office requires.

Qualifications

A minimum of a High School diploma is required.

An Associate’s Degree is preferred.

A minimum of 3 years of business experience is required.

The incumbent must possess extensive knowledge and demonstrate an expert level of proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook).

Must have strong computer skills and proficiency with productivity tools and portal technology

Excellent verbal and written communication skills, with exceptional interpersonal skills are required.

A sense of urgency is required while maintaining a high degree of professionalism.

The ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment is required.

Strong organizational skills are required.

Required to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high profile, and rapidly changing environment.
